# Manage users

> Invite users, assign roles, cancel invitations, and remove workspace members.

Open **Settings** > **Users** to manage workspace membership. The page lists each member's name, email address, and current role.

  If the page says that you have read-only access, you can review membership. Invitation,
  member-management, and deletion permissions are separate; use only the actions available to you.

## Find a member

* Enter a name or email address in **Search members…**.
* Use **Role…** to show members with a specific role.
* Select **Clear all** to remove both filters.

## Invite users

    Enter one or more addresses under **Email addresses**. Add each address as a separate chip.

  <Step title="Choose a default role">
    Select **Default role**. The role applies to every row initially.

  <Step title="Review the invitations">
    Select **Continue**. Review each generated username, email alias, and role. You can change a
    row's role or remove the row before sending.

    Resolve every highlighted validation issue, then select **Create accounts**.

K16 prevents duplicate workspace members, duplicate pending invitations, invalid addresses, and conflicting usernames. If only some invitations fail, correct or remove the highlighted rows and retry them.

<Warning>
  Do not send passwords or other authentication secrets with an invitation. K16 sends the recipient
  the supported account-access flow.

## Change a member's role

1. Find the member.
2. Open the member row or select **Edit** from its action menu.
3. In **Edit user**, select the new **Role**.
4. Select **Save changes** and confirm that the new role appears in the table.

Role changes can alter access immediately. Review the role's permissions before assigning it.

## Cancel a pending invitation

Pending invitations appear in the **Invitations** tab. Select the invitation's cancel action, review the email address, then select **Cancel invitation**.

## Remove a member

1. Find the member.
2. Select **Remove**.
3. Review the confirmation message.
4. Select **Remove** again.

Removing a member revokes workspace membership and cannot be undone from the confirmation dialog. Invite the person again if they need access later.

## Edit a member and recover access

You need member-management permission. Open a member to see **Edit user**.

* Update **First name**, **Last name**, or **Email** when the field is editable, then select **Save changes**. An externally managed email can be read-only.
* Select **Send password reset email**, verify the recipient in the confirmation, and confirm. Wait for **Password reset email sent**; the member completes the reset from their own message.
* Select **Reset MFA** only after verifying the member's identity through your institution's recovery process. Confirm the reset and wait for **MFA reset**. The member must follow the next sign-in prompt to configure account protection again.
* Select **Deactivate account** to prevent sign-in without removing the account. Review and confirm the action, then verify **Status**. Use **Reactivate account** to restore sign-in access when appropriate.

A reset clears existing MFA methods, so it changes the protection on the account. Never ask the member to send you a password or authenticator code.
